Overview

 The Administrative Assistant will primarily support the IT department.

Responsibilities

  • Collaborate with the IT team to prepare the contracts and statements of work for the acquisition of hardware, software, and professional services
  • Collaborate with the legal team to track all agreements in place with the vendors
  • Collaborate with the purchasing team to complete on all purchase requisitions
  • Communicate with vendors to get quotes, follow-up on actions, and resolve issues
  • Provide high-level administrative support by conducting research, preparing statistical reports, handling information requests, and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, and scheduling meetings
  • Occasionally create PowerPoint presentations, Excel spreadsheets and Word documents in support of the department
  • Build professional, effective working relationships and maintain a comprehensive awareness of the organization
  • Establish effective communication with corporate personnel contacts where necessary
  • Pro-actively coordinate multiple calendars, which may be comprised of heavy meeting schedules and extensive travel
  • Assist with on-boarding, desk assignment and equipment set up
  • Provide administrative and clerical assistance to other employees, as required
  • Maintain and update organization charts, phone lists and email distribution lists
  • Coordinate on-site and off-site business meeting and events

Qualifications

  • Bachelors Degree from an accredited university or college preferred, Associates Degree with relevant experience accepted
  • Experience supporting IT departments
